Privacy Policy

1. Scope and identity

This Privacy Policy describes how SyncroTel Labs, LLC, a Pennsylvania limited liability company (“SyncroTel Labs,” “we,” “us,” or “our”), collects, uses, retains, and discloses personal information through syncrotellabs.com and the websites, accounts, stores, communication tools, applications, experiments, publications, and other services we operate (collectively, the “Services”).

This policy does not govern a third-party website or service merely because we link to it or display its content. Those parties apply their own privacy terms when you interact with them.

2. Information we collect

Information you provide

• Accounts and profiles: email address, username, display name, password hash, account role and status, login and confirmation dates, profile photo, biography, location, website and social links, public contact information, and the visibility choices you assign to profile fields.
• Communications and community activity: contact inquiries, support correspondence, internal messages, conference-room messages, posts, comments, reactions, invitations, notifications, and other material you choose to submit.
• Projects and workspace material: files, records, tasks, notes, links, calendar items, knowledge entries, project information, ownership or assignment information, and related activity history created through authenticated production tools.
• Contact requests: name, email address, optional phone number and organization, service interest, timeline, budget range, subject, message, and consent to be contacted.
• Purchases: product and order identifiers, customer name and email, transaction amounts, currency, tax and payment status, fulfillment records, and provider identifiers. Payment-card details are collected and processed by Stripe, not stored by SyncroTel Labs.
• Email features: an email address and subscription status when you enable a digest, confirmation, invitation, or other email-delivery feature.

Information collected automatically

Our application, hosting environment, security services, and logs may receive technical information such as your IP address, request date and time, requested path, referrer, browser and device information, language, platform hints, cookie or session identifiers, response status, and diagnostic or security events.

When a SyncroTel QR code is scanned, we record the scan time, QR destination, IP address, user agent, referrer, preferred language, platform and browser hints, and requested path and query. We use this limited scan record to measure use, troubleshoot QR destinations, and detect abuse.

Cookies and local device storage

We use an essential authentication cookie to keep signed-in members authenticated. If you permit it, the home page also uses a small first-party cookie to remember that you have seen the introductory orientation. Some interactive features store preferences, reading progress, display settings, experiment configurations, or workspace choices in your browser’s local storage. These local items remain on your device until the feature replaces them or you clear them in your browser.

3. How we use information

We use personal information as reasonably necessary to:

• create and administer accounts, authenticate members, and apply roles and visibility controls;
• deliver requested Services, purchases, downloads, messages, notifications, and customer support;
• display information you intentionally designate as public;
• respond to project inquiries and communicate with you when you have consented or otherwise requested a response;
• operate, maintain, debug, measure, and improve the Services;
• detect, investigate, prevent, and respond to fraud, spam, abuse, security incidents, and violations of our Terms;
• maintain business, tax, transaction, and operational records; and
• comply with law, enforce agreements, and protect people, property, rights, and the integrity of our systems.

We do not use personal information collected through the Services to create targeted-advertising audiences, and we do not provide it to data brokers.

4. When we disclose information

We disclose personal information only in limited circumstances:

• At your direction or by your visibility choice. Profile fields and content marked public can be seen by other people. You control available field-level visibility settings.
• To service providers. Vendors may process information only as needed to host, secure, maintain, communicate, verify human visitors, process payments, or otherwise support the Services.
• For legal and safety reasons. We may preserve or disclose information when we reasonably believe law requires it or when necessary to protect rights, safety, security, users, or the Services.
• During a business transition. Information may transfer with the applicable business assets in a merger, financing, reorganization, bankruptcy, or sale. We will not treat personal information as a standalone commodity, and a successor will remain subject to this policy unless notice or consent is provided as required by law.

Operational disclosure is not a sale. We do not and will not exchange, rent, or sell your personal information for money or provide it to another business for its own targeted advertising.

Third-party services

Depending on the feature you use, our Services may interact with providers such as Stripe for checkout, Cloudflare Turnstile for bot prevention, email and hosting providers, Google Fonts, mapping or content-delivery networks, SoundCloud and other embedded-media providers, and sites reached through outbound links. Direct browser connections may expose your IP address and ordinary request metadata to those providers. Their own terms and privacy policies govern their processing.

5. Your choices and privacy rights

You may decline the optional orientation cookie, clear cookies or local storage through your browser, avoid submitting optional profile fields, change available profile visibility controls, and disable optional email features. Blocking the essential authentication cookie will prevent signed-in features from working.

Depending on where you live, law may give you rights to request access to, correction of, deletion of, or a copy of personal information; to object to or restrict certain processing; or to appeal a response. Email [email protected] to make a request. We may verify your identity before acting and may retain information when law permits or requires it.

Because we do not sell personal information or use it for targeted advertising, there is no sale or targeted-ad opt-out to exercise for those practices. We do not discriminate against anyone for exercising a privacy right.

6. Retention and security

We retain information only for as long as reasonably necessary to provide the Services, keep required business and transaction records, resolve disputes, enforce agreements, maintain security, and comply with law. Different records have different useful lives. Public content and account records may remain until removed or the account is closed; transaction, fraud-prevention, backup, and legal records may remain longer where reasonably necessary.

We use reasonable administrative and technical safeguards designed to protect information. No website, database, transmission, or storage system is perfectly secure. You are responsible for protecting your credentials and notifying us promptly if you suspect unauthorized access.

7. Children, international access, and policy changes

The Services are not directed to children under 13, and we do not knowingly collect their personal information. If you believe a child submitted personal information, contact us so we can investigate and take appropriate action.

SyncroTel Labs is based in Pennsylvania, United States. If you access the Services elsewhere, information may be processed in the United States, subject to applicable law and appropriate safeguards.

We may update this policy when our Services, practices, or legal obligations change. We will post the revised version and update the effective date. We will provide additional notice or seek consent when legally required. We will not quietly rewrite this policy to begin selling personal information collected under this promise.
